AutoInvoice Accountant is a must have for any inventory style business. With it, you can easily create and define user access, manage all clientele data, view and manage accounts payable with a revenue system for quarterly reporting, custom e-mailing software, scheduling system, a custom inventory system with barcode scanner compatibility, and many other useful features. This product is scheduled to be re-designed.

This is the main screen. Where you see AutoInvoice Accountant, you can easily set the program to place your company name there. Everything on this screen if fairly self-explanatory. Administrators will have full access to every part of this program while employees will have limited access; For example, you would not want a basic employee setting up or managing users, so that option will be disabled for them.We've added numerous features in version 3.0 that we did not have in 2.x. This screen image may differ from our latest version.

 

One of the first screens you will see is the profile screen. This is where you change the name of your business, edit your business address & other information. You can easily use your own logo in this program by clicking on the logo image box. Be sure to use a logo with a white or transparent background. If you need a logo designed, we have a graphics team that can do that for you. Remember, the question mark takes you to our official forum for this product.

 

This is the settings screen. Some companies do not use a logo so you have the option not to use them at all. Taxes always change and do so state to state, so you have the option to change the tax percentage at any time. The 2 optional messages are for your receipts, when a client makes a payment. The number (292) means you may still enter 292 more characters. In version 3.0, we've added many more functions as you can see. This is the inventory screen. In version 3.0 we've added the ability to store items by item number and removed the category system. We find that this new system works much better and is easier to understand. You can easily manage customer price, your price (and profits), whether the item is taxable, add/deduct from inventory, and set a warning amount for low inventory count. The search feature that this entire program uses works very nicely.

 

This is the clients screen. This screen has numerous functions. Obviously, you enter your clients information here, but also you can change the status of a client and even restrict further sales to them. You can also double-click either of the two labels at the lower left, to edit their data. One is highlighted red. Then to the right we have a list of payments made by the client with a detailed message below, and a refund box for customer refunds with information on that specific refund below. Further below, we have a misc info box for that client that can be edited only in accounts payable.

 

This is the custom e-mailing system where you can e-mail specific groups (see red oval). This is an option to send the invoice / packing slip via e-mail, though it can also be sent with the product. It's up to you. The current version sends e-mails in plain text but we will set it up to send as rich text in the next version which is scheduled to be developed soon.

 

This is the accounts payable screen. There isn't a whole lot to this screen; It is simply where you store client payment/refund data to be accessed later in the clients screen. Like the clients screen, only an administrator may change the status code of a client. You may also enter misc info about the specific client, also viewable in the clients screen. After processing a client payment, another screen will display which is the receipt screen, where you can either print or email the receipt to that client. If you choose to print it, an envelope screen will display, allowing you to create a mailing envelope.

 

This is the invoice / packing slip screen. This screen has numerous functions so I'll leave out the most obvious. By simply clicking on any of the yellow boxes, you add or modify what you are selling. In this example, we chose to change the quantity of books and it brings up a dialog where you can either void the item or change the quantity. Also, you can define non-defined items in grey by double-clicking them. Every function has on-screen help at the bottom of the window, as does many of the windows in this program. This is the revenue screen. This screen is totally new to version 3.0 The graphs screen is not designed; We may or may not decide to add it in another version. If we do, that version will be a free upgrade for registered users. Here you can see that the program identifies the quarter and year you are in and automatically saves data accordingly. There is much to go over in this screen so I'll just sum it up. In this example, 3 books were sold for 50 dollars that included 9.00 in tax. There was a 10 dollar refund given which reduced the sale to only 149.00. There were expenses incurred in buying the 3 books (40.00 each) + the 75.00 for the electric bill. Therefore, this business would be in debt for 46.00. If you have any questions, please ask them in our forum section.

 

This is the users screen. Only an administator may manage this screen. All functions of this screen are very self-explanatory.

 

This is the schedule screen. This screen can only be accessed through the main screen. Currently either administrators or employees may enter this screen. In a future version, you can edit that in settings. Setting a schedule is very simple and the instuctions are there for doing so. Note the schedule in the first slot, it is indicated as red and that means that it is set for the current day at 3:00. The next screen shows the message to order 500 mufflers. After a message is displayed, that specific schedule will be deleted.

 

This is the schedule notifier screen. Here you see the schedule message to order 500 mufflers. It's just a very basic simple screen. After you click exit, you will be notified that the specific schedule will be deleted.
